Terms and Conditions

All bookings at the BEST WESTERN Wroxton House Hotel are accepted subject to the terms and conditions set out below unless alterations are in writing.

General/Numbers
Should you require a day reception only your event room should be vacated by 6.00pm. Alternatively, you may continue your celebrations into the evening with the following stipulations:
  i. If you choose an evening buffet in addition to the day reception a room hire charge is
     not applicable.
  ii. If you choose not to cater for your guests in the evening there will be a £500.00 room
     hire charge.
A drinks package must be chosen for all guests attending the day reception.
We do not offer a corkage facility.
In addition to the day reception an evening buffet can be selected catering for no less than 80% of the hotel evening guests attending.
Final numbers must be advised 48 hours prior to the Wedding and this number or the number attending on the day, whichever is the higher, will be used for invoicing purposes.

Booking confirmation

Provisional bookings will be held for 2 weeks only, after which a deposit of £500.00 and a letter of confirmation is required. A further £500.00 deposit is required two months later.

Deposits are not transferable or refundable.

Prices

Following detailed discussion and our understanding of your arrangements, the agreed prices will be confirmed in writing. All prices are inclusive of VAT at 20%, if the general rate of VAT is altered, our prices will be modified accordingly.

Settlement of the Account

The final bill is to be settled 2 weeks prior to the Wedding based on the numbers given. Any extras are to be settled on departure. It is agreed that any food, drinks or services not mentioned in the contract but asked for at the hotel will be paid for when the bill is presented.

Insurance

We strongly recommend that you take out Wedding insurance. This should cover you in the event of cancellation but please check terms and conditions with your broker.

Accommodation

A special Wedding tariff is available for any of your guests wishing to stay the night. A minimum of 10 rooms must be taken when an evening reception is taking place at the hotel. These rooms may be booked for one night only, any further rooms required must be booked for a minimum of 2 nights. All rooms must be booked directly with the hotel by the individual guest and a deposit will be taken at the time of booking. Normal booking conditions apply. Exclusive use Weddings must take 12 rooms the night prior to the Wedding.

Cancellation policy

The following scale of charges will be made:
Cancellation 90 days prior to the event - 50% of the estimated total invoice.
Cancellation 30 days prior to the event - 75% of the estimated total invoice.
Cancellation 1 week prior to the event - 100% of the estimated total invoice.
